Customer Portal Setup
Customer portal access lets authorised customer contacts complete items such as site assessments and view customer-facing information. Use this when a customer is expected to complete their own site assessment.
What must be checked
Customer contactThe contact must exist on the correct customer and, where relevant, the correct site.
Email addressThe contact needs a correct email address so registration, login, and assessment links reach the right person.
Portal loginConfirm whether the contact should have customer portal login enabled before expecting them to use the portal.
Site linkFor site-specific assessments, confirm the contact is linked to the correct site.
When this matters
- A customer contact is expected to complete a site assessment themselves.
- A customer needs access to customer-facing portal information.
- A customer needs to view the cleaning specification for their site.
- A site assessment request has been sent but the contact cannot access it.
- The wrong customer or site contact is receiving assessment or portal communication.
Before sending a site assessment
- Open the customer record. Check the customer is the correct account.
- Open Contacts. Confirm the contact name, email, phone/mobile, role, and site link.
- Check portal access. Confirm whether customer portal login should be enabled for that contact.
- Send or resend the assessment. Use Schedule Wizard or the customer site assessment area once the contact details are correct.
- Review completion. When the assessment is completed, return to Schedule Wizard and continue with zones, geofence, and assignment.
Cleaning specification visibility
Customer portal users can view the customer-facing cleaning specification when they have the right portal access. Check portal access before telling a customer they can see site tasks, expected outcomes, equipment, products, or chemicals.
- Confirm the contact is linked to the correct customer and site.
- Check the cleaning specification has been reviewed in Schedule Wizard before relying on it as customer-facing information.
- Use the PDF download where a customer or branch needs a printable copy.
