NFC card check-in

NFC card check-in lets staff use a physical NFC tag or card at the site instead of relying on GPS location tracking. Use it where GPS is unreliable, where staff should confirm they are physically at a fixed point, or where the customer prefers a site-based check-in point.

Setup locationNFC cards are set up in the KleanFlo on the Move app from the customer site details screen.
Staff app optionWhen an NFC card ID is saved against the site, the staff mobile app shows the Scan card option.
Timesheet evidenceNFC check-ins still need to be reviewed through Timesheets when there are missing schedules, duration issues, or other exceptions.

How to set up an NFC card

  1. Open the KleanFlo on the Move app. Use a supervisor or authorised user account that can access customer site details.
  2. Open the customer site details. Choose the customer and site where the NFC card will be used.
  3. Select Setup NFC tag. The app will prompt the user to scan the NFC card or tag.
  4. Scan the NFC card. Hold the phone against the card until the app reads the card ID.
  5. Save the setup. Once the NFC card ID is saved, that site is ready for NFC check-in.

What staff will see

Scan card optionIf the site has an NFC card ID, the staff mobile app shows Scan card as a check-in option.
Alternative to GPSStaff can scan the site card instead of using GPS tracking for that check-in route.
Site-based proofThe scan confirms the staff member had access to the card or tag placed at the site.
Same review processThe resulting time entry should still be checked in Timesheets when it is missing a check-out, has an unexpected duration, or does not match the schedule.

When NFC is useful

Poor GPS signal

Use NFC where the site has weak GPS, indoor areas, basement work, or location drift that creates false geofence warnings.

The card gives staff a clear site-based check-in action.
Fixed site entrance

Place the NFC card at the agreed signing-in point, reception, cleaning cupboard, or secure staff area.

Choose a location staff can access at the start and end of the shift.
Customer-controlled sites

NFC can be helpful when the customer wants staff to check in at a known on-site point rather than only through mobile GPS.

Make sure the tag location is practical for every scheduled shift.

What to check if NFC does not appear

  1. Check the site record. Confirm the NFC card ID has been added to the correct customer site.
  2. Check the staff app site. Confirm the staff member is opening the correct scheduled site in the mobile app.
  3. Check the phone supports NFC. The device must support NFC scanning and have NFC enabled where the operating system requires it.
  4. Check the card placement. The card should be readable and not hidden behind metal or a surface that blocks the NFC scan.
  5. Check timesheets after testing. Confirm the test scan has produced the expected check-in or check-out record.

Reviewing NFC entries

NFC check-in confirms the card was scanned, but supervisors should still review the timesheet where there is an exception. Use the same daily checks as other check-in methods: missing check-out, duration variance, schedule mismatch, and payable duration.
